ChatBeacon combines AI agents with live chat so organizations can use automation without giving up control of their customer experience. SmartMax Software, Inc. develops, provides, and supports ChatBeacon. Each customer determines how the platform is configured and used within its organization.

AI should improve customer conversations without removing organizational accountability or appropriate human involvement. This page explains SmartMax’s approach to responsible AI in ChatBeacon, the controls available to customers, and the responsibilities each customer retains.

Customer control

Responsible AI is not one-size-fits-all. ChatBeacon gives each customer direct control over where AI operates, the approved information it can use, the guardrails that shape its behavior, how it communicates, and when conversations transfer to a live agent.

Together, these controls help organizations scale AI without surrendering accountability, oversight, or the human judgment required for complex customer conversations. Available capabilities vary by enabled features, deployment model, and configuration.

Transparency

Trust begins with clarity. When AI participates in a customer conversation, that involvement should be communicated in language the audience can readily understand. Organizations using ChatBeacon are responsible for providing appropriate disclosure when AI features are enabled.

ChatBeacon supports both AI-assisted and live chat experiences, but disclosure obligations vary by use case, audience, industry, and jurisdiction. Each customer is responsible for identifying and implementing the appropriate notices. Enabling ChatBeacon AI features does not, by itself, satisfy an organization’s legal or regulatory disclosure obligations.

Human oversight and live-agent handoff

Responsible automation requires defined guardrails and a reliable path to a live agent. ChatBeacon supports customer-configured escalation triggers for situations such as a direct request for human assistance, a low-confidence response, a conversation that reaches an approved boundary, or a defined workflow condition. When a handoff occurs, the conversation transcript and available customer context move with it so the live agent can continue without requiring the customer to start over.

Controls Built Into ChatBeacon

  • Guardrail-based escalation when a conversation moves beyond the AI’s approved scope
  • Configurable triggers for human requests, low-confidence responses, defined topics, and workflow conditions
  • Routing to an authorized live agent or queue based on customer-defined rules
  • Transfer of the conversation transcript, AI interaction history, and available customer context with the escalation

Decisions Owned by the Customer

  • Define the AI’s guardrails, confidence thresholds, escalation triggers, and handoff criteria
  • Configure routing rules, queue priorities, agent assignments, and coverage hours
  • Determine which users may receive escalations or administer handoff settings
  • Establish response procedures, review requirements, and accountability for live agent actions

ChatBeacon provides the controls, routing, and conversation continuity required for AI-to-live-agent handoff. Each customer remains responsible for configuring those controls, staffing its live channels, establishing response expectations, and overseeing the actions of its authorized users.

Knowledge and AI-generated responses

ChatBeacon AIX may use customer-selected or customer-approved information to help generate relevant responses. What the AI can draw on is a decision the customer makes and maintains.

AI-generated content can be incomplete, outdated, or incorrect. It should not automatically be treated as professional, legal, medical, financial, emergency, or other high-impact advice, and it is not a substitute for a qualified person where one is required.

Customers remain responsible for reviewing their knowledge sources, instructions, workflows, and chosen use cases, and for keeping that material accurate over time.

Privacy and data protection

When AI features are enabled, the platform may process conversation content, prompts, customer-approved knowledge, and generated responses in order to provide the configured service.

Testing, monitoring, and improvement

Responsible AI is not a one-time exercise. Models change, customer needs change, and the risks worth watching change with them. Ongoing evaluation is part of operating an AI-assisted platform rather than a milestone to be completed.

SmartMax reviews platform behavior as part of normal product and support operations. Specific testing, review, logging, and quality-control capabilities depend on the release and deployment in use, and are confirmed in product documentation rather than described in general terms here.

Responsible customer use

The organization deploying ChatBeacon AIX decides how AI is used and carries the responsibilities that come with that decision.

Configuration and content

Obligations and limits

ChatBeacon AIX does not independently make a customer compliant with AI, privacy, or industry regulations. Compliance depends on how an organization configures the platform and operates around it.
